The Operations Manager supports the company across departments and lines of business. They manage processes to support the entire organization, including General Manager, Client Delivery Manager, Production Manager and the Director of Software Engineering. They work with vendors on contracts and estimates to ensure we provide the best services at the most competitive prices.

The ideal applicant will have an existing proficiency in operations, forecasting and costing for a print production or technology organization. They will thrive in an entrepreneurial and production-oriented environment. They must be a team player, able to multi-task and handle daily tight deadlines and aggressive goals. Organization skills are a must to ensure quick and efficient operational support. They must be motivated to learn and achieve in a small, fast-paced environment.

Essential Duties & Responsibilities

  • Formulate and implement departmental/organizational policies and procedures to maximize output
  • Assist in the development and implementation of operational processes and improvements
  • Create quality gains in deliverables and performance & productivity gains of people & systems
  • Support a unified delivery process (Jira, PrintSmith, etc.) and 100% adoption of time tracking, collaboration and workflow systems to improve project forecasting, profitability and accountability
  • Monitor associate adherence to processes and procedures as defined in our Corporate Governance
  • Facilitate coordination and communication between support functions
  • Lead implementation of “common sense” pricing efficiently and profitably estimate jobs
  • Identify and implement standardized estimating methods for Promo Products, Technology and MPS
  • Support requirements gathering and documentation in accordance with Corporate Governance
  • Manage estimates and job request to ensure appropriate costing and price evaluations are adopted
  • Develop reports/dashboards on organizational health, gathering metrics and monitoring trends
    • Weekly Financial Dashboard, Topline Revenue, Gross Margin, Profitability by Rep, by LOB
  • Standardize process and reporting at the project level for all CIP and non-print production jobs
    • Budgeted time/dollars on projects vs actual, profitability
  • Support the development and management of an annual forecast and budget
  • Create and maintain comprehensive project documentation and timelines
  • Ensure standards and requirements are met through conducting quality assurance tests
  • Submit and monitor technical issues to appropriate parties (tier 2), including our IT Provider
  • Develop and/​or maintain key account metrics to monitor profitability
  • Develop process for expense/spending approval, including capital expenses, variable expenses, machine leases (clicks, toner), office supplies (paper, binders), etc.
  • Establish and deliver on an expense reduction plan; vet non-contractual spending, variable expenses
  • Manage licenses, renewals, vendor contracts, cancellations and NDAs
  • Manage assets, inventory and margins
  • Work with Production and Development to optimize pricing/invoicing process for key accounts
  • Provide backup coverage for departmental managers and leadership

Qualifications/Skills

  • Experience with defining reporting requirements and analysis
  • Proficient in Excel and the Microsoft Office Suite
  • Proficient in computer graphics & design (Photoshop, Adobe CS, Illustrator)
  • Proficient with CRMs, Estimating Systems, QuickBooks
  • Ability to effectively manage multiple projects with strict deadlines
  • Commitment to continuous process improvement and ability to solve problems creatively
  • Highly motivated, works independently and to support organizational goals and objectives
