Project Coordinator oversees a project from the initial phase of reviewing client requirements to the final stages of production and distribution.

Act as the internal manager of information and the central point of contact on all print and web projects for specific clients. Evaluate the scope of each project and manage the efficient progress of creative work through the firm, from briefing through production of files, development, proofing/quality control and press checking to delivery. The Project Coordinator is the frontline communicator with clients, prospects, vendors and team members to facilitate the solving of client challenges and to ensure projects run accurately and smoothly through the project lifecycle.

This role works with graphic designers, clients and vendors to estimate, create schedules, competitively bid jobs, select vendors, manage all necessary approvals and ensure quality control.

Essential Duties & Responsibilities

  • Serve as the key contact for all matters related to your assigned accounts
  • Develop relationships with new customers and grow relationships with existing customers
  • Manage projects from initiation to completion
  • Manage incoming estimates and job request either by a client or Sales Representative, and ensure that appropriate costing and price evaluation is taking place
  • Define each project’s strategy, goals, and objectives
  • Direct and coordinate project work and communicate and coordinate with internal departments while following process and procedure
  • Act as the point of contact and communicate project status to all participants, keeping in close contact with key project members and decision makers throughout each project
  • Develop weekly status reports by gathering and reporting call statistics to monitor for trending of issues
  • Create and maintain comprehensive project documentation, plans, reports, and print and digital project timelines
  • Make sure that clients’ needs are met as projects evolve
  • Ensure standards and requirements are met through conducting quality assurance tests
  • Ensure timely and successful delivery of projects according to customer specifications
  • Establish, evaluate and lead change to initiate and identify process improvements
  • Follow up on customer interactions, and resolve customer related issues
  • Submit technical and customer issues to appropriate parties (tier 2)
  • Identify new opportunities to provide products and services to existing customers
  • Develop and/​or maintain key account metrics
  • Assist in developing strategy, proposals and presentations for prospective clients
  • Identify and support new business development within existing clients


  • College degree
  • 5+ years' experience working in print production and direct mail environment
  • Excellent knowledge of printing processes and color retouching a must- good judgment in color, design and print quality
  • Understanding of web fundamentals and best practices
  • Ability to effectively manage multiple projects with strict deadlines
  • Commitment to continuous process improvement initiatives and ability to solve problems creatively
  • Highly motivated and high level of initiative; inspires confidence to work independently and in support of department goals and business objectives
